1. SAP Business One cloud

5-yr licence = €/user/mo × users × 60. Default midpoint of the published €47–€91 band: €69.

SAP B1 cloud is sold via the partner channel, mostly within the €47–€91/user/mo band. The calculator defaults to the €69 midpoint but accepts your partner quote. If you choose on-prem (perpetual licence), we add 18% of Y1 implementation as annual maintenance for years 2–5; cloud subscriptions already include maintenance.

Implementation band of €40k–€150k for a 50-user mid-market project is the published industry research figure; overwrite with your partner quote when you have one.

2. Oracle NetSuite

5-yr = base $999×60 + full users × $/user × 60 + self-service users × $/user × 60 + implementation. Cloud subscription includes maintenance.

NetSuite is the only vendor with a separate platform fee: $999/month entry. User licensing is two-tier — full-access users at $99–$199/mo (default $149) and self-service / employee-only users at $10–$25/mo (default $17). Many companies put warehouse, field or seasonal staff on self-service, which the calculator models as a separate line.

3. Microsoft Dynamics 365

5-yr = app × $/user × 60 + (premium connectors × $40 × users × 60) + (Power Platform env × $100 × 60) + implementation.

Dynamics 365 list prices are app-level: Sales Professional $65, Sales Enterprise $105, Finance $210 per user per month. Some add-on apps have cheaper Attach licences when a base app is already in place, but full-stack modeling is the safer default. Premium third-party connectors add $40/user/month. Power Platform non-prod environments are $100/month each — many companies run two or three (dev / UAT / staging).

4. AppForge custom ERP / CRM

5-yr = Y1 build × industry factor × timeline factor + 5 × annual maintenance + (Hungarian NAV line, optional).

Custom bands come from our public pricing.md: CRM 12–30 M HUF Y1 (default midpoint 21 M HUF) + 0.5–1.5 M HUF/yr maintenance; ERP 15–35 M HUF Y1 (default midpoint 25 M HUF) + 2.5–6 M HUF/yr maintenance. Industry factor (manufacturing 1.15, retail 1.0, services 0.95, logistics 1.10) reflects recurring delivery experience — manufacturing carries more MRP and integration scope.

Timeline factor: aggressive (3–4 mo) 1.20×, standard (6–9 mo) 1.0×, careful (12 mo) 0.95×. Aggressive covers parallel-team and overtime rates.

5. FX assumptions

HUF / EUR ≈ 390, HUF / USD ≈ 360. Conservative, rounded snapshot for May 2026. The final TCO contract should pin the exchange rate explicitly.

Most SaaS contracts are billed by the vendor in USD or EUR but invoiced in HUF by a Hungarian Kft partner. Over 5 years that produces 3–8% drift — we recommend a 5% buffer on top of the modeled TCO. The calculator uses one fixed rate so the output is directly comparable across vendors.

6. What the TCO does not include

Training, change management, data migration, integration partner hours, contingency reserve (5–8%), baseline infrastructure (VPN, SSO, monitoring).

The calculator deliberately answers one clean question: what does the vendor cost? Total project budget is typically 5–15% above TCO. We walk through the missing lines and your specific number set on a 30-minute scoping call.

What the result means

If custom is cheapest

Common when standard SaaS modules are largely unused, or when a local jurisdiction requirement would push SaaS into deep customization. Next step: 30-minute scoping call covering business processes, module list and a real project quote.

If a SaaS vendor is cheapest
